Why Educare365

School Management Software you can read like a dashboard

Change the institution in the dark bar above and every chart on this page redraws — the fee donut, the collection trend, the role consoles, the ageing bars. Same software, four different shapes of institution.

Quick answer

What Is School Management Software, and What Does One Licence Cover?

The console above has a help drawer, and this is what it says when you open it on the word itself.

?Help · school management software

School management software, often called a school ERP, is one cloud system that holds every record an institution runs on — admissions, students, attendance, timetables, examinations, fees, accounts, staff, transport, library and communication — so that a fact entered once is the same fact everywhere, and each role sees only the part of it that belongs to them.

Every number on this page is drawn from that one set of records. The collection percentage in the donut, the monthly line beside it, the attendance bands a principal looks at and the ageing buckets an accountant chases are not four reports being reconciled — they are four readings of the same rows. That is the entire argument for an ERP over a folder of spreadsheets, and it is why the figure in your annual report and the figure in your NAAC submission agree.

What one licence covers

18

Eighteen modules on one student record and one staff record — admissions through alumni. Switch on what you need now; the rest wait rather than being quoted again.

4

Four kinds of institution. School, college or university, coaching institute, pre-school. The records are the same; the vocabulary and the rules change.

∞

Unlimited parent and student logins. The app is not priced per device or per login, because charging a parent to see their own child's attendance would be an odd thing to do.

1

One group view across every campus under the trust, with each campus still running on its own.

By institution

School ERP Software for Schools, Colleges, Coaching Institutes and Pre-Schools

School ERP software, college ERP software, coaching institute management software and pre-school software are one product here, not four. Same donut, four real institutions — and the shape of the fee demand is different in every one. Click a card to make it the data set for the whole page.

Role Based Access for Management, Principals, Teachers, Parents and Students

Four people sign in to the same database on the same morning and get four different charts, because they have four different jobs. Nobody is shown a number they have no business seeing.

    What is inside

Every Module Included in the Same Licence

Eighteen modules on one student record and one staff record. Every chart on this page is drawn from them.

Every module writes to the same student and staff record — which is the whole reason the figures in one of them agree with the figures in another.

Frequently Asked Questions About School Management Software

What trustees, principals and administrators ask us on the first call.

School management software, often called a school ERP, is one cloud system that holds every record an institution runs on — admissions, students, attendance, timetables, examinations, fees, accounts, staff, transport, library and communication — so that a fact entered once is the same fact everywhere. Marking attendance in the morning is what a parent sees on the app at lunchtime and what the monthly report draws from at the end of the term, because all three are reading the same row rather than three separate sheets.

One product, configured differently. The underlying records are the same, but what the system calls things and what it insists on changes: a school works in classes, sections and terms with board registration and CBSE or ICSE report cards; a college works in departments, semesters, credits and backlogs with NAAC and NIRF reporting; a coaching institute works in batches, test series and instalments with rank reports; a pre-school works in playgroups with a daily diary and daycare timings. You are not buying a different product, and you are not paying for the parts you do not switch on.

Yes, and for most institutions this is the deciding question rather than a detail. Access is set per role and per record, so a class teacher sees her own sections and not the salary register, a head of department sees her department, a parent sees only their own children, and management sees the rolled-up figures across campuses. Roles are editable — if your principal should not see staff salaries, that is a setting, not a code change.

That is what the group view is for. Each campus runs its own admissions, attendance, fees and staff as a self-contained institution, and the trust sees the consolidated position across all of them — collection, outstanding, enrolment and headcount — with the ability to open any single campus and drill into the record behind a number. Staff transferring between campuses keep one employee record rather than being created again.

By removing the three jobs that take the time. Demand is raised automatically from the fee structure for the class, batch or semester rather than typed; reminders go out on a schedule over SMS, WhatsApp and email with a payment link, so the accountant is not making calls; and online payments reconcile themselves against the student's ledger, so a receipt exists the moment the money lands. What is left for a human is the exception — the concession, the dispute, the cheque that bounced.

The pieces that NEP 2020 changed are supported: the Holistic Progress Card with scholastic and co-scholastic areas and descriptive indicators rather than marks alone, self and peer assessment inputs, competency based assessment wording in report cards, and credit style structures for higher education. The templates are editable, because the way boards and universities have implemented NEP is still moving, and a template you can change is worth more than one that was correct last year.

A single campus with clean data is usually live within two to four weeks; a group or a mid-session switch takes longer because of the balances. Existing students, staff, fee structures and opening balances are imported from whatever you have — Excel, Tally exports, the previous vendor's dump — and reconciled with you before anything goes live. We would rather start from a batch you have already closed than discover a mismatch after the first fee receipt is issued.

Pricing depends on the modules you switch on, the number of students and whether you are running one campus or a group, so we quote after a short scoping call rather than publishing a number that would be wrong for most institutions. Ask for the demo and the quotation together — it is a fifteen minute conversation, and you will get the figure in writing.
